Terms and Conditions for Private Class Bookings

All private classes are non-profit making. DanceWest is a registered charity supporting the community to be healthy and happy by participating in dance, health and wellbeing programmes.

By booking a private lesson or package, participants agree to the following terms and conditions:

1. Booking Confirmation and Payment

To secure your private lesson or package booking, full payment is required at the time of booking.
A non-refundable deposit/admin fee of (10%) is included in the total cost of any booking.
Partial payments or deposits are not accepted.

2. Private Lesson Packages

Private lessons are available for individuals, couples, or small groups (up to 6 participants).
Packages must be used within the following timeframes:

Single and 5-lesson packages: Valid for 3 months from the date of purchase.
10-lesson packages: Valid for 6 months from the date of purchase.
20-lesson packages: Valid for 12 months from the date of purchase.

Group workshops require a minimum of 4 participants per session, and group packages require a minimum of 6 participants for booking.

3. Alternative Locations

Private classes will take place at DanceWest studios however, at our discretion, private lessons may be arranged at an alternative location, such as your wedding venue.
Participants are responsible for booking and covering any venue hire costs for the chosen location.
Additional travel expenses for the instructor will be charged, as necessary, and must be agreed upon with DanceWest prior to the session.

Rescheduling and Cancellations

You may reschedule or cancel your private lesson up to 48 hours before the scheduled time without penalty.
No-shows or cancellations made 48hrs or less before a scheduled lesson are non-refundable and the lesson will be forfeited. Rescheduling is not permitted within this period.

Refund Policy

Changing Your Mind

You may request a full refund* for a private lesson or package within 10 days of purchase, provided no sessions have been used.

Illness or Injury

Refunds after 10 days of purchase, or for unused lessons in a package, are only available with a valid doctor’s note*
Block booking discounts will be revoked on cancellation, and the refund will be calculated based on the full price of any sessions already taken*

Refund Restrictions

Refunds will not be issued for partially used packages after the validity period has expired.
No refunds are available for sessions already attended.

*All refunds will be subject to an administration charge equal to 10% of the total purchase price.

Attendance

Participants are expected to arrive on time for their lesson. Late arrivals may result in reduced session time, as lessons will conclude at the scheduled end time.
If you arrive more than 20 minutes late, the lesson will be considered cancelled, and no refund or rescheduling will be offered.

Health and Safety

Participants should be in good health and inform the instructor of any medical conditions that may affect participation.
DanceWest is not liable for injuries sustained during private lessons. Please follow all safety instructions provided by the instructor.

Dress Code

Participants can wear whatever they are comfortable moving in.
Dance shoes are welcome or participants can be barefoot. No outdoor footwear or marking soles are permitted in our studio.
Jewellery should be removed before class, and long hair should be tied back.
DanceWest t-shirts and tote bags are available for purchase.

Conduct

All participants are expected to behave respectfully towards the instructor and other participants.
Disruptive or unsafe behaviour may result in the session ending early, without a refund, and in extreme cases, the cancellation of the remaining sessions without a refund.

Teacher Communication and Bookings

All communication and bookings with instructors must be made through DanceWest.
Participants are not permitted to contact or book instructors directly for private lessons or any other services outside of DanceWest.
Breach of this clause may result in the cancellation of your booking without a refund.

Personal Belongings

DanceWest is not responsible for lost or stolen personal items. Please keep valuables at home.

Photography and Video

DanceWest may take photos or videos during private lessons for promotional purposes.
If you do not wish to be photographed or recorded, please inform the instructor prior to the lesson.

Facility Use

The studio offers a private and welcoming environment, with step-free access, accessible toilets, and changing facilities available.
Dance shoes or non-marking footwear are required in the studio. Barefoot dancing is also permitted.

Taking Care of our Floor

We are incredibly fortunate to have a professional sprung dance floor that enhances your party experience. To help maintain its quality, we kindly ask that all guests adhere to the following guidelines:

No marking soles, outdoor shoes, or wheels are allowed on the dance floor
Keep food and drinks out of the studio (water bottles allowed)

If you notice any marks or damage to the floor upon arrival, please inform our team immediately. This documentation will clarify any questions regarding responsibility for damages. We appreciate your understanding and cooperation in helping us maintain this exceptional space for everyone to enjoy.

Changes to Schedule

DanceWest reserves the right to change instructors or reschedule lessons if necessary. We will notify you as soon as possible in the event of any changes.

Data Protection

By booking a private lesson, you consent to being added to our mailing list for updates on classes, schedules, and special events. You can unsubscribe at any time by emailing info@dancewest.co.uk.
Your personal information will not be shared with third parties.

Agreement

By booking with us, you acknowledge and agree to these Terms and Conditions, including the payment and cancellation policies outlined above.
